Sound Rentals – How It Works

Sound Rentals can feel overwhelming for first time customers. You don’t want a huge bill you didn’t plan for. You don’t want to hire the wrong company. At Sounds of Africa, we keep it simple, honest, and professional.

This post shows you how sound rentals work with us. We’ll explain every step—from first contact to the final applause.


Step 1: Contact Us Early

Start by getting in touch. The earlier the better. Let’s say you’re planning a 50th birthday party for your dad. You give us the date and ask if we’re available. That’s all we need to start the process.

We can help with last-minute or emergency bookings too. Just ask. If we can help, we will.


Step 2: Share Your Event Details

Next, we ask for event details. We want to understand your setup. Here are some basics we’ll need:

  • Venue: Where is the party?
  • Guests: How many people are coming?
  • Room size and shape: Big crowds “eat” sound. More people = more speakers.

Let’s stick with the example:
You’ve booked a large hall with space for dancing. You expect 300 guests. Now we know what size system you’ll need.


Step 3: Tell Us About Your Entertainment

Now we talk music. Will there be a DJ, a Band, or both?

  • Bands need more equipment and space. They also cost more.
  • DJs may bring their own gear. If not, we can provide it.

Let’s say you’ve arranged:

  • A DJ who brings his own controller
  • A duo band playing live music

Step 4: We Send You a Quote

With all the details, we build your quote.
We also pencil your date into our calendar.

Here’s what we’d include in a setup like this:

We bring pro-grade equipment only. No cheap brands. Why? Because cheap gear often fails. And when it fails, you lose. We’ve learned this the hard way. So we don’t risk it anymore.

This quote is for one-day rental with setup. It’s not for dry hire (where you collect and set up yourself). We do it all for you.


Step 5: Booking and Payment

Happy with the quote? To lock in the booking, we’ll need:

  • 50% deposit
  • Signed agreement

Our agreement outlines everything:

  • What we’ll supply
  • What you need to know
  • Cancellation terms

If you cancel:

  • 7+ days before: Full refund
  • 24 hours to 7 days: 15% fee
  • Less than 24 hours: Deposit is non-refundable

Life happens. If things change, just talk to us. We’ll try our best to help.

Final payment is due 24 hours before we arrive at your venue. We don’t offer credit, so no payment = no setup. It’s unfortunately that simple.


Step 6: Event Day

This is the fun part. We show up early to set up. You just give us access to the venue.

Here’s what we handle:

  • Sound system setup
  • Cable management and safety
  • Sound checks before guests arrive

Our engineer runs everything:

  • Mics for speeches
  • Volume control
  • Background music (you provide the playlist)

The engineer stays focused on the sound. He won’t handle other duties. His job is to make your event sound amazing.


Step 7: Going Overtime?

We plan your end time ahead of the event.
If things run late, speak to the engineer. He may be able to stay longer. This is a separate deal between you and him.

If you booked a DJ or band through us:

  • There’s a fixed fee for their set
  • Extra time is billed per hour
  • These rates are in your agreement

Step 8: Pack Down and Follow-Up

The night ends. Your guests leave happy. Your dad says it was the best party ever.

We pack up our gear and leave the space as we found it.
You get a follow-up from us in the next few days. We ask for feedback and see how you enjoyed the service.
